Email migration is more than copying a mailbox. Your plan needs to account for users, domains, shared mailboxes, archives, permissions and the applications that send messages through the current system. BedriSystems helps scope email migration to Microsoft 365 and Exchange Online around the source platform, data volume, business dependencies and the way employees access their mail.
Assess Exchange and Lotus Notes / Domino sources.
The migration assessment can address Exchange environments and Lotus Notes / Domino email. Source versions, mailbox sizes, local archives and access methods affect the migration approach and tooling. Notes applications and custom Domino databases are a separate workload: an email migration does not automatically migrate their application logic or business data. Identify those dependencies early so retention or separate project work can be agreed.
Prepare identity, licensing and mail flow.
Review the target Microsoft 365 tenant, domain ownership, user identities, required licenses and administrator access. Document inbound and outbound routing, application relay, mobile access and relevant DNS records. The implementation plan should identify who approves and performs each change. Mailbox eligibility, data handling, migration-tool costs and any coexistence requirements need confirmation before committing to a schedule.
Pilot, cut over and validate.
A representative pilot helps identify issues with migrated content, permissions, Outlook profiles, mobile access and message delivery. Agree what will be tested and what success means before moving the remaining users. The cutover plan should include communications, a change window, routing changes, validation responsibilities and an escalation path. Migration timing depends on the source system, data volume, tooling and available access; it is confirmed after discovery.
Define the handover before the old system is retired.
Decide how administrators will verify completion, handle exceptions and retain any source data that must remain available. Decommissioning the old mail system requires a separate check for relay, archives and application dependencies.
